POSITION SUMMARY
The Chief of Staff will serve as a right-hand partner to Aetion’s Chief Executive Officer, Carolyn Magill, ensuring she can effectively fulfill her commitments and operate at the highest level. This role is both strategic and tactical and will work very closely with the CEO in her day-to-day operations. The Chief of Staff also partners with a variety of internal team members for proper coordination toward the successful achievement of strategic priorities. This role emphasizes communication and collaboration between the executive office and other leadership team members. The ideal candidate possesses the ability to develop a highly effective executive office by creating and implementing processes and systems. The Chief of Staff will partner with an interim Executive Assistant who is shared with multiple C-level executives. They will be involved in the search and selection of a dedicated Associate who will report to the Chief of Staff upon hiring.

PRIMARY RESPONSIBILITIES
The Chief of Staff’s responsibilities will encompass three primary areas:

Build and manage the daily operations of the executive office

  • Identify, implement, and document the proper systems and structures to allow for efficient executive office operations; work closely with the Associate to create clear and useful documents, templates, and processes for the team and refine as necessary
  • Create sustainability and continuity of executive office systems and processes
  • Manage and mentor the executive office team, comprised of one Associate
  • Maintain “quality control” of information and communication to reduce reactivity; anticipate the needs of the CEO and work to solve problems before they occur
  • Facilitate regular executive office team meetings both with, and without, the CEO for successful operation  

Ensure strategic alignment and coordination of CEO’s priorities and goals

  • Serve as the central point of contact between the CEO and staff
  • Maintain a communicative and highly cohesive executive office team aligned toward the same goals, while championing a strong and motivated work culture
  • Ensure time is properly rationalized and spent in the appropriate areas of focus
  • Partners with staff regularly to ensure timely and accurate completion of related tasks or projects
  • Expertly triage external requests for the CEO’s time

Deliver results on behalf of the CEO

  • Provide consistent and relevant briefing information to the CEO prior to all key meetings 
  • Attend key meetings and events with, or on behalf of, the CEO and ensure timely follow-up for all action items
  • Partner with internal and external stakeholders on behalf of the CEO to ensure timely completion of projects and activities
  • Execute special projects and programs by translating actionable steps, gaining cross-functional buy-in and program managing
  • Accurately and effectively serve as an extension of the CEO

KEY QUALIFICATIONS
The Chief of Staff should possess the following professional qualifications and personal attributes:

  • At least 12-15 years of professional experience
  • Ability to work independently and collaboratively with a team
  • Possess and understand key leadership and managerial attributes to lead projects from end-to-end with multiple stakeholders involved
  • Adept problem solver with an innate resourcefulness and solution orientation
  • Strong knowledge of operational systems, structures, and ways of working with a collective team and executive office
  • Superior communication skills with keen attention to detail; ability to disseminate pertinent information to the right people at the right time
  • Ability to handle multiple projects simultaneously; reliable and competent at prioritizing and adjusting timetables based on demand and circumstances
  • Strong emotional intelligence with an ability to develop effective long-term relationships
  • Superb judgment and integrity; unparalleled confidentiality and sophistication in all aspects of work
  • Ability to understand and anticipate the needs of another individual and act on them without direction
  • Excellence in execution; solid experience implementing strategic visions at a tactical level
